Cleaning Supplies Inventory & Reorder Tracker Template — Free PDF, Editable & Spreadsheet Download
Cleaning businesses run out of supplies mid-week and discover it mid-job. This tracker fixes that with one register — opening stock, what arrived, what was used, the balance, a par level for every item, and a REORDER flag the moment stock falls to par. It comes three ways: a printable PDF for manual stock checks, an editable DOCX, and a real spreadsheet (XLSX) where the balance and flag columns are working formulas, pre-filled with the worked example so you can see the flags fire. It closes the FormNest chain: the back-office document the work orders quietly depend on.

Download the spreadsheet version and change any "used" figure — the balance and the REORDER flag move with it. That is the difference between a stock list and a stock system.

How to use it
- Start with an honest opening count — count what is physically there, not what the last order said.
- Record every delivery in Received and every job's usage in Used (the spreadsheet's Job Usage sheet keeps the detail).
- Set a par level for each item: the minimum to have on hand before replenishment, allowing for supplier lead time.
- Check the flags weekly; when an item reads REORDER, log the order in the Purchase Log sheet and update Received when it lands.
Printing & customization
The PDF prints on US Letter landscape (A4 works too) across three pages — designed for clipboard stock checks. For day-to-day use, the spreadsheet is the better tool: balances and reorder flags calculate themselves, and the top row stays frozen as you scroll.
Free for your own business use — print it, fill it, edit the editable version and save it as your master. Please don't redistribute, resell or re-upload the files themselves; link to this page instead.
Frequently asked questions
What is a par level?
The minimum quantity of an item you want available before replenishment. Set it from how fast you use the item and how long your supplier takes to deliver — the flag fires when the balance reaches it, while there is still time to order.
How often should I check stock?
Weekly is a practical starting point for most small cleaning businesses — often enough to catch a falling item before a job does, rarely enough to actually happen.
Does the spreadsheet calculate automatically?
Yes. In the XLSX, Current Balance = Opening + Received − Used, and Reorder Status flags REORDER whenever the balance is at or below par. The Job Usage and Purchase Log sheets are supporting records — the register's Received and Used totals are still yours to keep current.
