Cleaning Service Work Order Template — Free PDF & Editable Download
The work order is the document that turns a quote into a job: it takes the accepted estimate's scope, attaches a date, an arrival window and a named team, and comes back with a completion record. It is the link in the chain most small cleaning businesses run on memory and text messages — and the one whose absence causes the classic failures: wrong day, wrong scope, no proof of what was done.

Who should use it

- Anyone who has had a 'but I thought that was included' dispute
How to use it
- Raise one work order per job, straight from the accepted estimate — the estimate number field links them.
- Copy the scope from the estimate rather than re-describing the job; consistency between the two documents is the point.
- Give the work order to the assigned cleaner before the visit; access instructions live here, not in a chat thread.
- On completion, fill the record section and have the client sign if present — then file it with the invoice.
Printing & customization
Prints on a single Letter or A4 page. In the editable version, save one copy per job with the work order number in the file name.
Usage licence
Free for your own business use — print it, fill it in, adapt the editable version, use it with your clients, as often as you like. Please do not redistribute the blank files, upload them to other template libraries, or resell them; if a fellow cleaner could use it, link them to this page instead. FormNest keeps the copyright in the underlying design.
Frequently asked questions
What is the difference between an estimate and a work order?
An estimate proposes — scope and price for the client to accept. A work order executes — it schedules the accepted scope, assigns it, and records completion. Same line items, different job: one sells the work, the other proves it happened.
Why link the work order to the estimate number?
So any question — from the client, a cleaner, or you in six months — resolves to the same agreed scope in seconds. Most scope disputes are really document-mismatch disputes; the link removes them.
Who should receive the work order?
The cleaner or team doing the job, before the visit. It carries the address, window, scope and access instructions in one place — everything a chat thread scatters.
What if the client asks for extra work on the day?
Note it in the completion record's follow-up line rather than absorbing it silently. Extras recorded are extras you can invoice or schedule; extras absorbed become the new expected scope for free.
