Cleaning Service Invoice Template Template — Free PDF & Editable Download

Every software company gives away a free invoice — as bait for a subscription. This one is just the document: a clean invoice whose line items deliberately mirror the estimate and work order, so the client sees one story from quote to bill, and whose totals, tax line and payment block work for a paper-first business. No account, no gate, no trial expiring.

Download — free, one click, no email gate

Both files are the same document. The PDF is ready to print; the editable version (Word) is yours to brand and adapt. Files are generated from the same source as the preview below, and every file is tested before it is listed here.

What's included

Who should use it

How to use it

  1. Copy the line items from the work order for the job — same descriptions, same order. What was quoted and done is what is billed.
  2. Number invoices sequentially and never reuse a number; the invoice number is how payments get matched.
  3. Set the due date from your own terms and state the payment methods you actually accept.
  4. Send or hand over the invoice with the completed work order available — together they answer every 'what am I paying for?' question.

Printing & customization

Prints on a single Letter or A4 page. In the editable version, save your business and payment details into a master copy once, then duplicate per invoice.

Usage licence

Free for your own business use — print it, fill it in, adapt the editable version, use it with your clients, as often as you like. Please do not redistribute the blank files, upload them to other template libraries, or resell them; if a fellow cleaner could use it, link them to this page instead. FormNest keeps the copyright in the underlying design.

Frequently asked questions

Why should the invoice match the estimate so closely?

Because mismatches are what clients query, and queries are what delay payment. When the invoice's lines are the estimate's lines — same words, same order — the client recognises the bill as the thing they agreed to, and pays it.

Do I need to show tax on the invoice?

Only if your local rules require it and you are registered to charge it — the tax line is there for businesses that do, and can be left out or marked zero by those that do not. The template does not decide your tax obligations.

What payment terms should I set?

Your decision, stated plainly on the invoice — 'due on receipt' and 'due within 7 days' are both common for cleaning services. Whatever you choose, printing it on every invoice is what makes it enforceable in practice.

Can I invoice monthly for recurring clients?

Yes — use one line per visit (date of service plus description) across the month, which is exactly what the services table is laid out for.

Complete the chain
